Privacy Policy

Version 2026-08-31

1. Who is responsible

The controller for the personal data described here is IBEX SERVICES Ltd, Via Serafino Balestra 6, CH-6830 Chiasso, Switzerland (UID CHE-114.803.997), a commercial fiduciary company supervised by the Ticino authority for the fiduciary professions.

For any question about your data, or to exercise the rights set out in section 6, write to info@ibex.services.

2. What we collect, and why

If you use the contact form, we collect the name, e-mail address, telephone number (if you give one) and message that you enter. We use them to answer your enquiry and for nothing else: no newsletter, no profiling, no advertising, and no transfer or sale to third parties.

We also store your IP address truncated to its first three blocks (or, for IPv6, its network prefix). That is enough to recognise an automated flood of submissions and not enough to identify you or your household. The full address is not retained.

Please do not send account numbers, identity-document details or other confidential financial information through the form. If we need those, we will agree a secure channel with you first.

3. Cookies and browser storage

This site sets no advertising or analytics cookies and does not track you across other websites. It stores one thing in your own browser: the fact that you have seen this data-protection notice. It also sets one technical cookie, which protects the contact form against cross-site request forgery. You can delete both at any time through your browser settings without losing access to the site.

4. Third parties and transfers abroad

Fonts, stylesheets, scripts and photographs are all served from this site itself. Displaying a page does not cause your browser to contact any third party, and therefore discloses your IP address to no one but this site.

There are no analytics, advertising, tracking or social-media components on this site, and no content delivery network sits in front of it.

The site and the enquiries submitted through the form are held on a server in Frankfurt, Germany, operated for us by DigitalOcean. Germany is recognised by the Swiss authorities as providing adequate data protection. We do not send the content of your enquiry to any artificial-intelligence service or translation service.

When you write to us through the form, a copy of your message is sent to our own mailbox so that a person can answer it. That mailbox is operated by Microsoft (Microsoft 365) under a data processing agreement, on servers in Switzerland.

5. How long we keep it

Enquiries are anonymised 365 days after they are submitted, automatically. Where an enquiry leads to a mandate, the resulting client file is kept for as long as the professional and statutory record-keeping obligations applicable to a Ticino fiduciary require — in principle ten years from the end of the relationship, under art. 958f of the Swiss Code of Obligations.

Backups of the database are kept for thirty days on the server and ninety days on a second, encrypted and access-restricted copy held in Switzerland, so an enquiry can persist in a backup for that much longer after it has been anonymised in the live system. Backups are used only to restore the site after a failure.

6. Your rights

Under the Federal Act on Data Protection you may:

  • ask whether we process personal data about you, and obtain a copy of it (art. 25);
  • have inaccurate data corrected (art. 32 al. 1);
  • have data erased, or its processing stopped (art. 32 al. 2);
  • object to a processing operation;
  • receive data you provided in a machine-readable format, or have it passed to another controller (art. 28).

We answer within 30 days. Exercising these rights is free of charge. If you are not satisfied with our answer, you may refer the matter to the Federal Data Protection and Information Commissioner (FDPIC) in Bern.

If you are in the European Union or the United Kingdom, the General Data Protection Regulation may also apply to the processing described here, in which case equivalent rights arise under it.

7. Security

Enquiries are held with access limited to the people who need it to answer you. No transmission over the internet can be guaranteed absolutely secure; e-mail in particular is not a confidential channel, and we will not ask you for financial or identity details by e-mail.

8. Changes

This notice carries a version identifier (2026-08-31), and the version shown to you at the time is recorded with any enquiry you submit. If it changes materially, the new version will be published here.
